Frequently asked questions

Answers about the platform: clock-ins, employee portal, shifts, absences, reports, security, apps and integrations.

No. Jornadapp centralises time tracking, an employee portal, shifts, absences, requests, documents, expenses, chat, reports, legal compliance and day-to-day workforce management.

Yes. You can try Jornadapp free for 14 days with your plan features, with no commitment during the trial.

No. You can create your account and start the 14-day trial without entering a card. The trial expires automatically and does not trigger a charge.

You can create the company, choose clock-in methods and add your first employees in a few minutes. If you already have a staff list, our team can help import it.

Yes. Send us your Excel, PDF or CSV and our team will review the list and create the accounts at no per-worker cost.

Before registering, you can talk to us by phone or WhatsApp. Customers also get traceable support tickets from the panel.

It fits offices, hospitality, retail, services, construction, mobile teams, multi-site companies and SMEs that need clock-ins, shifts, absences, requests and reports in one place.

Yes. Each employee can clock in, check their day and shifts, request absences, submit requests, upload expenses, view documents, chat with the company and receive alerts according to permissions.

Yes. Combine web or mobile with GPS, a dynamic QR terminal, NFC tags, geofences and swipe-to-clock to avoid accidental taps. Managers enable methods per site or employee.

They define a radius in metres around a location (site, job, client). When active, clock-ins are only valid inside the zone or are flagged as incidents. You can assign different geofences per employee or site.

The company displays a QR code on a terminal (tablet or screen) that refreshes every few seconds. The employee scans it with their phone while logged into Jornadapp, validating clock-in/out without sharing credentials on a shared device.

We recommend NTAG 424 DNA with SUN (Secure Unique NFC): each read generates an AES-CMAC signed URL with a counter, and Jornadapp can reject copies or replayed reads. Simple UID tags work but offer less anti-copy protection.

Yes, on mobile apps. If there is no coverage, the clock-in is stored on the device and syncs when connectivity returns, keeping the original time and method.

Yes. Each worker can be tied to one or more authorized devices. A clock-in from an unrecognized phone can trigger an alert, block or pending review depending on company settings. On native apps, access can be strengthened with Play Integrity (Android) and App Attest (iPhone).

The record can include a cryptographic signature from the authorized device. On mobile apps the private key is protected by Android Keystore or Apple Keychain, adding traceability and helping spot unrecognized devices.

It is an optional module for mobile teams. Location is only recorded when the company has the extra active, tracking is enabled and the worker is clocked in as working (not on break); it stops on clock-out. The worker always knows when tracking is active thanks to a persistent notification on their phone while it runs.

General guidance (not legal advice):
• Spain: AEPD guidance and Article 90 LOPDGDD allow workplace geolocation within Article 20.3 of the Workers’ Statute, with clear prior notice, limited purpose and proportionality.
• Portugal: GDPR (Lei n.º 58/2019) and the Código do Trabalho; the CNPD requires a lawful basis, prior information to workers, proportionality and minimisation, plus a DPIA when processing is high-risk.
• United Kingdom: UK GDPR and the Data Protection Act 2018; the ICO requires written notice, a documented legitimate purpose, data minimisation and no covert monitoring except in justified exceptional cases (Employment practices code).

In all cases the employer must give clear notice, limit purpose and apply proportionality and minimisation.

Yes. Weekly and daily planner, reusable templates, base schedules, visible holidays and overlap detection. Employees see published shifts, and companies can suppress push reminders on holidays or approved absences.

Employees request annual leave, personal leave or sick days; managers approve and check balances and team calendar. Leave counts working days from each schedule, and the company decides whether applicable public holidays consume balance. Approved absences can sync to Google Calendar, Outlook or iCal.

The employee confirms their weekly hours and the manager validates or corrects them — double validation before closing the period. Jornadapp can send email reminders if sign-off is pending.

Yes. Set maximum hours, mandatory breaks and rest rules. The system generates compliance alerts, automatic incidents and smart alerts for unusual patterns. PDF/CSV reports support internal review and record keeping.

A central channel for requests (shift change, equipment, leave, etc.) with type, priority and attachments. Managers handle them with statuses and counters instead of scattered chats.

Yes. Employees log expenses, allowances or mileage and can attach multiple images or PDFs from web, Android, Apple or Windows. The company reviews, approves or rejects and keeps history per employee and period.

The company uploads contracts, payslips or certificates and assigns them to employees. They view and, when required, sign digitally. Files are served with permission checks, not public links.

Yes. Internal company chat for direct conversations between manager and employee, with the same access control and audit as the rest of the platform.

Reminders for shift start/end and breaks, pending or missed clock-in alerts, incidents, requests, documents and custom company messages. Requires mobile app or PWA with notifications enabled. Clock-in reminders (before a shift or for forgotten clock-ins) are only sent when the employee has a base schedule or published shifts configured in the platform.

Optional anonymous mood check-in when clocking in. The company sees aggregated weekly stats to spot team trends without identifying individual answers.

Yes. Jornadapp calculates estimated labour cost in real time per employee, department and project from clocked hours and configured day, night or holiday rates.

Yes. Organise sites, managers, geofences, schedules and terminals per location. Each manager can see only their scope.

Detailed clock-ins in CSV and digitally signed PDF with verifiable QR, payroll CSV standard or SAGE, absence calendar PDF, weekly email summary, incident history and weekly sign-off data.

Reports can include a digital signature. Viewers such as Adobe Acrobat Reader only trust it if they recognize the CA. Download rootCA.crt and install it in the trusted root store (Windows: double-click or Certificate Manager; macOS: Keychain Access).

rootCA.crt

They are SHA-256 fingerprints of the report, data manifest and generated PDF. They verify integrity: if the document is altered, the recalculated fingerprint will not match Jornadapp’s.

Yes. Webhooks for events (clock-ins, absences, employees, etc.) with retries, manual test, regenerable secrets and delivery history. Works with ERP, n8n, Make, Zapier and more.

Yes. Managers can enable TOTP 2FA from Settings to strengthen access to the company panel.

Yes. Managers and employees can use a digital certificate (national ID card, FNMT, etc.) when the browser or device supports it.

Yes. Browser, mobile apps (Google Play, AppGallery, App Store where available) and installable PWA from Chrome or Safari.

Apps are companion access for existing accounts. Under App Store and Google Play rules, contracting, billing and renewals are managed by the administrator from the web platform.

Single plan per active user by tier, with monthly minimum and VAT by rate. Includes a 14-day trial. Optional extras (live tracking, expenses and allowances, internal chat, and routes and mileage) per company. See Pricing on the home page for current rates.
